Rresponsibilities

Daily Responsibilities

For 300 – 350 leases

  • Abstract and set up all lease documents (new leases, amendments, terminations, assignments, subleases, etc.) in Yardi Voyager. Calculate and enter necessary billing adjustments. Maintain written backup of billing data in lease files. Review all documentation for signatures and completeness.
  • Update and monitor properties' rent rolls and square footage.
  • Maintain and update lease statistics as required.
  • Oversee the creation and maintenance of lease files.
  • Assist tenants with any billing or account questions.
  • Assist property management staff with any tenant account questions or lease questions.
  • Review redline lease documents for accuracy of calculations and basic language of economic terms. Communicate any issues found to Manager to correct problems and clarify incongruous language prior to document execution.
  • Process adjustments/write-offs upon receipt of necessary approvals. Maintain written backup of all adjustment to tenants' accounts in lease file.

For 300 to 350 leases

  • Review the abstract and setup of lease documents in Yardi Voyager prepared by Accenture.
  • Set up commercial lease documents (new leases, amendments, terminations, assignments, subleases, etc.) in Yardi Voyager when necessary, and follow-up with Accenture to have them complete abstraction process.
  • Review all tenant billings/adjustments as prepared by Accenture.
  • Work with Lease Administration Manager and leasing personnel/general counsel to correct problems and clarify incongruous language in leases.

Monthly Responsibilities

For 300 to 350 leases

  • Maintain and monitor critical dates in Yardi Voyager to track date-sensitive lease/economic requirements.
  • Calculate and bill CPI rental adjustments/increases.
  • Upon approval, prepare check requests and process in Yardi Voyager all tenant refunds as needed. Calculate interest on deposits when necessary.

For 300 to 350 leases

  • Review CPI adjustments and percentage rent calculations as prepared by Accenture.
  • Review percentage rents for retail tenants as prepared by Accenture.
  • Review check requests and support as prepared by Accenture.
  • Review monthly rent roll reconciliations prepared by property management staff prior to rolling rents.
  • Review and assist with specialty billings (work orders, utility billings) as prepared and entered into Yardi Voyager by property management staff.

Annual Responsibilities

For 300-350 leases

  • Prepare and maintain tenant operating expense, cam and real estate tax pools in accordance with lease requirements.
  • Review annual tenant pass-thru reconciliations and estimates for operating expenses and real estate taxes prepared by Accenture prior to billing tenants. Maintain property summary schedules for auditing.

Special Projects/Other

  • Prepare and bill tenant credits due to reduction in property tax assessment. Maintain property tax summary schedules.
  • Work with Lease Administration Manager to provide due diligence support for acquisitions/dispositions/refinancing. Audit, abstract and set up leases in Yardi Voyager for proposed purchases. Create detailed rent roll.
  • Participate in the Lease Administrators performance evaluation and action plan with Lease Administration Manager.
  • Other duties as assigned.


Qualifications

Qualifications

  • BS or BA degree required
  • Minimum of 5-7 years direct commercial lease administration
  • Strong financial/analytical skills with the ability to interpret complex commercial lease language. Candidates with an accounting background are strongly preferred.
  • Extremely organized, detail oriented, self-directed, motivated, reliable and dependable
  • Proven ability to work quickly, accurately and with changing priorities under tight deadlines
  • Excellent oral and written communication skills
  • Proficiency working in commercial real estate software systems (i.e. Yardi, MRI, Timberline, etc.)
  • High proficiency in MS Office products.
