The Highlights: The Coordinator of Academic Services creates and maintains the course schedule, room schedule, and course catalogue for the School of Music. Additionally, this position manages all student records, databases,  course enrollment, course listings, and related analysis across these areas in the College Office. Reports to the Associate Director of Advising and Scheduling. 
 

What You'll Do:

  • Creates and maintains the course schedule and related data, room schedule, and class schedule for the School of Music, exercising judgement and making regular decisions about locations and what courses can/cannot run concurrently, ensuring that curricular conflicts are minimized and degree progress is maximized. Attend University Course Scheduler meetings.
  • Processes enrollment and maintains all student records (course registration, student files, and databases) and degree checklist materials. Attend University Records Managers meetings. Communicates and works directly with students to provide information and help troubleshoot in areas of enrollment, registration, withdrawal, and other related topics. 
  • Routinely performs data analysis, reporting, and recommendations for Dean and Associate Deans utilizing enrollment data, including identifying enrollment/course trends, assessing appropriate enrollment thresholds per course, etc., helps advise Dean and Associate Dean to determine potential instructor course assignments, frequency of course offerings, and decisions pertaining to other curriculum-based concerns. Fulfill project assignments from the Associate Dean of Academic Affairs and department chairs (queries, mailings, event support, databases) and provides faculty support as needed reviewing enrollment data, grading procedures, online teaching evaluation, syllabi collection, student contact information, and related deadlines).
  • Provides career services for music students, including individual career advising, managing web content and communications relating to music career services and Gig Connection requests, and collecting and sharing donations for the career closet. 
  • Directs, plans, and promotes series of career workshops, in collaboration with School of Music faculty and alumni, on a variety of entrepreneurial topics. 
  • Manages seasonal student workers in area of student programming/event support.
     
What You'll Need:
  • Bachelor's degree required; music degree preferred. 
  • 1-2 years of experience in an adademic office setting required. 
  • Training and experience with data entry and analysis word processing, database systems, and software management required. 
  • Knowledge of Microsoft Office required. Ability to use Adobe Pro, Peoplesoft, and Sharepoint preferred.
  • Some evenings and weekend work required.
