Summary and Qualifications:

Provide superior customer service and system coaching to line managers, field leadership and Central Team Support (CTS) partners, while overseeing the behind the scenes processes, workflow and data administration of all associate information, ensuring integrity and quality of Workday and all other systems connected. Provide technical guidance and direction to end users of Workday and ServiceNow.

Essential Responsibilities and Tasks:

  • Live and exemplify the Five Principles of Mars, Inc. within self and team.
  • Manage a high volume of hire and onboarding processes within Workday.
  • Oversee all manager self-service transactions in Workday, including tracking, approving, troubleshooting, and communicating with line managers and stakeholders.
  • Collect, review, track, and process Team Member Action Notices (TANs).
  • Partner with line managers when information is missing or inaccurate in transactions, in order to process the hire or the change as quickly as possible.
  • Maintain excellent customer service and relationships with line managers and field leadership and provide professional system support and process coaching.
  • Maintain extreme confidentiality and security of associate data.
  • Manage associate documents for new hospital openings and relocations.
  • Perform daily audits of Workday data for accuracy and troubleshoot issues prior to multiple system interfaces. Ensure compliance with federal regulation for I-9 and E-Verify completion and any necessary communication with associates and line managers.
  • Review, adjudicate, and resolve issues with background checks and troubleshoot issues within Taleo and HireRight.
  • Administer and answer questions regarding data in Workday, MSS, ESS, E-Verify, Oracle Core HCM,, HireRight, and AppXtender. Understanding all modules and required documents in order to explain as needed.
  • Manage inquiries via ServiceNow ticketing system, including system research/troubleshooting, communicating with applicable technical/back office admin support and clients submitting the tickets.
  • Use understanding of system interface connections to answer and troubleshoot questions on system access (e.g. email, Unite, Banfield U, ServiceNow, Workday Core HCM,  etc.).
  • Utilize AppXtender ECM document management system for associate files, troubleshoot issues, complete audits and file requests.
  • Other job duties as assigned.

Special Working Conditions:

  • Ability to work at a computer for long periods of time. 
  • Project timelines and work volume/deadlines may often require more than 40 hours per week to complete essential duties of this job.
  • Must have mental processes for reasoning, remembering, mathematics and language ability (reading, writing, and speaking the English language) to perform the duties proficiently.
  • Ability to carry out instructions furnished in written, oral, or diagram form and to solve problems involving several variables.
  • Ability to stand, walk, stoop, kneel, crouch, and climb as well as manipulate (lift, carry, move) up to 50 pounds.
  • Requires good hand-eye coordination, arm-hand-finger dexterity with the ability to grasp, and visual acuity to use a keyboard and operate necessary equipment.
  • The noise level in the work environment is normally moderate.
  • Environment where pets are present.

Experience, Education and/or Training:

  • Associate's degree in General Business or Human Resources is required, or the equivalent combination of education, training and experience that provides the required knowledge, skills, and abilities.
  • Bachelor's degree is preferred.
  • Three years of Professional Human Resources and/or HR Systems experience are required.
  • Microsoft office experience is required.
  • HRIS experience is preferred.
  • Workday experience is preferred.
